Privacy Policy

This policy describes, in plain language, the data FlowClock actually collects and how it’s used. It is a starting point, not a substitute for review by a lawyer before relying on it for compliance purposes.

What we collect

When your organization uses FlowClock, we collect:

  • Account information — name, email address, and password (stored hashed, never in plain text).
  • Employment details — role, reporting manager, start date, job title, and any personal info fields an employee chooses to add (birthday, phone, address, emergency contact).
  • Clock events — timestamps for clock-in, clock-out, and breaks, the location and device involved, and the signal strength reading that triggered an automatic clock event.
  • Proximity data — the FlowClock mobile app detects broadcasts from your employer’s own registered device in order to clock you in and out automatically. This is proximity detection, not GPS or continuous location tracking: it only recognizes your employer’s device (nothing else nearby), and only while the app is open and in the foreground, never in the background.
  • Schedule and time-off data — assigned shifts, shift swap and drop requests, and time-off requests and approvals.
  • Messages — direct messages between coworkers and company-wide announcements sent through FlowClock.
  • Profile photos — if you choose to upload one.
  • Payroll integration data — if your organization connects QuickBooks, the mapping between FlowClock employees and QuickBooks employee records, and a log of what was exported and when.

Who can see it

Every organization’s data is isolated from every other organization’s. Within an organization:

  • Owners and admins can see all employees, clock events, schedules, and reports for the organization.
  • Managers can see the employees who report to them.
  • Employees can see their own clock history, schedule, and personal info, and messages sent to them.

FlowClock staff can access data as needed to operate, secure, and support the service. We do not sell personal data, and we do not use it for advertising.

How long we keep it

We retain data for as long as your organization’s account is active, so historical timesheets and schedules remain available for payroll and reporting. If your organization closes its account, contact us to request deletion of its data, subject to any records we’re required to keep for legal or accounting reasons.

Your choices

Employees can review and update their own personal info from the Account tab in the app at any time. To request a copy of your data or ask us to delete it, contact your organization’s admin (who controls your account) or reach us directly at privacy@flowclockhr.com.
